How to manage your Booksmor subscription from inside the app — view what’s active, add or remove add-ons, top up AI tokens, see usage, and switch payment methods.

Add-ons

A grid of available add-ons (Payroll / Manufacturing / POS / E-Commerce) — each tile shows whether it’s active, the monthly price (₹550), and an Add / Remove button.

Managing your subscription

View what’s active

Just open Setup → Subscription. Status, period end, and active add-ons are at the top.

Add an add-on mid-term

  1. Setup → Subscription → find the add-on tile.
  2. Click Add module.
  3. Confirm — you’ll be charged pro-rata for the remainder of your annual term (e.g. if you’re 6 months into your year, you pay 6 months of the add-on now).
  4. After payment succeeds, the add-on activates immediately. The feature flags flip; new sidebar items appear; new functionality unlocks.

Remove an add-on at renewal

You can remove an add-on before your next annual renewal:

  1. Setup → Subscription → click the Remove button on the active add-on tile.
  2. Confirm.

The add-on stays active until your renewal date. After renewal, the feature becomes read-only — your data stays accessible (you can view historical pay runs, POS sessions, etc.), but you can’t post new transactions in that module until you re-subscribe.

Renewal

About 30 days before your annual term ends, Booksmor sends reminder emails. You can:

  • Renew as-is — same plan, same add-ons. Pay via Razorpay / Cashfree / UPI.
  • Renew with changes — add or drop add-ons at renewal time.
  • Let it expire — no payment → 30-day grace → read-only.

AI tokens

How AI is used

A small set of features consume AI tokens:

  • Capture Bill — reads vendor bills (PDF / photo / text) into draft purchase vouchers.
  • Anomaly detection — flags unusual transactions for review.
  • In-app chat help (rolling out) — ask questions about your books in plain English.

Wallet model

  • Each tenant has a non-expiring token wallet.
  • New tenants get 200,000 free tokens during the 30-day trial.
  • Top up with AI Token Packs: 1,000,000 tokens for ₹550 + 18% GST.
  • Unused tokens carry forward indefinitely — no monthly reset.

Topping up

  1. Setup → Subscription → AI tokensTop up.
  2. Pick a pack count (1 pack = 1M tokens; many tenants buy 1 or 2 at a time).
  3. Pay via Razorpay / Cashfree / UPI.
  4. Tokens are credited to your wallet within seconds of payment success.

Tracking usage

Setup → AI Usage has a detailed breakdown:

  • Day / Week / Month / All-time tabs.
  • Filter by capability (bill_capture / anomaly / chat).
  • Filter by model (which AI model handled the request).
  • Filter by tenant member (which user triggered the use).

Use the All-time view to estimate your monthly burn and decide when to top up.

Payment methods

Booksmor accepts payment via:

  • Razorpay — cards, net-banking, UPI, wallets.
  • Cashfree — same range.
  • Direct UPI — for tenants who prefer to pay without going through a gateway. Mark-paid manual; superadmin verifies + activates.

Your card details are never stored in Booksmor — payment goes directly to the gateway, which handles the transaction and returns a confirmation.

To change your preferred gateway, contact support — most SMBs stick with whichever option they first used.


Common questions

Can I see invoices for previous payments? Yes — Setup → Subscription has a Payment history section with downloadable PDF invoices for every past payment.

My subscription expired and now my data is read-only — what do I do? Pay the renewal. Your tenant flips back to active within seconds; full read-write resumes immediately. Your data was never deleted — only blocked from new posting.

Can I downgrade mid-term (drop an add-on now, not at renewal)? Not in the current release. Add-ons run to the end of the annual term they were added in. Drop takes effect at next renewal.

My team member said they ran out of AI tokens — but I see balance in the wallet. Either they’re on a different tenant (multi-company users), or the request hit a per-user / per-feature rate limit that surfaces as “out of tokens”. Check Setup → AI Usage to see what they tried.

Are AI tokens shared across companies under one login? No — each tenant has its own wallet. Top up each company separately.

Can I get a refund on AI tokens I bought but didn’t use? No refunds on AI tokens — they’re consumables. Since they never expire, “didn’t use this month” just means they’re waiting for next month. Buy in pack sizes that match your real burn.

What happens to my AI tokens if I cancel my subscription? They sit in the wallet. If you resubscribe later, the balance is still there. If your tenant is archived (after 12 months of cancellation), wallet contents are lost.

Can I get a single invoice for base + add-ons + tokens? Yes — your renewal invoice covers base + active add-ons together. AI token top-ups are separate transactions with separate invoices.

Can my CA pay on my behalf? Yes — the CA can pay via the Partner Portal if they’re CAID-linked. Or you forward them the payment link directly.


Troubleshooting

Subscription page shows “Trial” but I paid yesterday. Payment is processed by the gateway then synced back to Booksmor. Most gateways take seconds; UPI direct can take up to a few minutes. Refresh after 5 minutes. If still showing Trial after an hour, contact support@booksmor.com with your payment reference.

Topped up tokens but balance hasn’t changed. Refresh Setup → Subscription. If the wallet still shows the old balance, the payment may not have settled yet. Check payment history; if showing as “pending”, wait. If “failed”, retry.

Add-on tile says “Coming soon” instead of having an Add button. That add-on is in beta or unreleased on your tenant’s plan. Email support@booksmor.com to ask about availability.
